The Shopify buyer's morning routine
In every decent multi-supplier Shopify store there is a person — sometimes called the "buyer," sometimes the "ops lead," sometimes the owner wearing a third hat — who spends the first ten minutes of every morning working out what is running out. Here is what that ten minutes should look like.
The out-of-stock report
Start here. One page. Every product where your supplier is reporting zero. Filtered by supplier. Sorted by how long it has been zero.
Anything recent and hot is triage material: a phone call or email to the supplier. Is this temporary or are they dropping the line entirely?
The unmatched SKUs list
Next: anything a supplier reported on this week that did not match a product in your store. Maybe they added a new product. Maybe they re-coded an old one. Either way, ten minutes of attention here prevents a week of "why isn't this syncing."
Add an alias, patch the SKU in Shopify, or decide the SKU is not something you stock. Move on.
The ingest log — any red?
Last week's ingests. Any failures? Any rejected senders (spoofed or not allowlisted)? Any files that came in but parsed zero rows? Those are your silent failures — the worst kind. They are why next Tuesday nothing has been updated.
A loud failure is easy. A silent zero-rows success is the expensive one to catch.
Stale-supplier check
Anyone not sending? If your Acme report lands every Monday and it is now Wednesday with no Acme ingest, something is wrong. Email them before the weekend hits.
A supplier's file not arriving is usually because their system changed, not because they decided to stop working with you. Early contact is cheap and usually resolves the same day.
The reorder decisions — ten minutes, not an hour
With the above done, you have a short list of products that need reordering. One more look at your preferred supplier's stock for each. Place the orders.
The morning is for the fast decisions. The slow ones — onboarding new suppliers, negotiating terms — belong in dedicated blocks later in the week.
The hidden win
Doing this ten-minute routine means you are never surprised by a stockout, never scrambling to explain an "oversold" order, never learning about a supplier switch three weeks late.
The buyer who runs this routine is worth more than one who spends two hours rebuilding the same view manually in a spreadsheet every morning.
Stockpost does this end-to-end: supplier email in, live supplier stock on your Shopify products. 14-day free trial, $39/month per store.
